What Makes a Good Archive Box
Archive boxes have a simple job that is easy to get wrong. They need to hold heavy paper without bowing, stack several high without collapsing, open easily when someone needs a document and show clearly what is inside without anyone lifting the lid. Cheap boxes fail on at least one of those, usually by sagging at the base or crushing at the corners after a few months.
A good archive box starts with the right board. Corrugated board resists crushing far better than thin card, and a double-wall construction suits boxes that will be stacked high in a basement or warehouse. Folded double walls at the ends add strength where the hand holds are cut.
The lid matters as much as the base. A separate lift-off lid that overlaps the base by a decent margin keeps dust out and lets someone check a box without unfolding flaps. It also means the box can be opened and closed many times without wearing out.
Finally, the box should make retrieval quick. If someone needs one invoice from several years back, a clear label and a sensible filing order inside the box turn a frustrating hour in the storeroom into a five-minute job.
Where Archive Boxes Are Used
Offices use them for financial records, contracts and HR files that must be kept but are rarely consulted. Schools and colleges store exam papers, student records and old coursework. Solicitors, accountants and medical practices hold client files for set retention periods. Charities and community groups keep minutes and historical documents.
They also turn up at home and in small businesses: storing tax returns, receipts, photographs and keepsakes. Removal and storage companies sell them to customers moving house, and printed versions are popular for branded office moves.
Records managers often run a yearly check, moving files due for destruction to confidential shredding and boxing newly closed files. Having a consistent box size and label layout makes that check much faster, since every box can be read and handled the same way. Stockrooms that store stock rather than paper usually choose our cardboard storage boxes for stockrooms instead.

Sizing Around A4, Foolscap and Lever Arch Files
The internal size should follow the documents, not the other way round. Loose A4 sheets need a box just over 210mm by 297mm internally. Foolscap files, still common in legal and public offices, need a little more length. Lever arch files are bulkier, so a box that holds four or five of them upright must be wider and deeper than one for loose paper.
Think about orientation too. Files stored spine-up make it easy to read labels on the spines once the lid is off. Loose papers stored flat take less height but are harder to flick through. Tell us how your office files things and we will suggest a size that fits.
Do not make boxes too big. A box packed with paper gets heavy very quickly. Smaller boxes that one person can lift safely are better than large ones that need two people and strain the board. Our note on measuring files for a snug box explains where to add clearance for ring mechanisms.
Printed Archive Storage Boxes with Lids
Printed archive storage boxes with lids usually carry a label panel on the end and the side, so the contents can be read whichever way the box sits on the shelf. Lines for department, contents, date range and a destroy-by date help with retention policies. Printing these panels directly on the box saves applying separate labels.
Organisations often add their logo, and some colour-code boxes by department or retention period. A coloured band on the end makes it easy to spot all the boxes due for checking in a single glance across a storeroom. One or two colours on brown corrugated board keeps costs low while staying clear and readable.
Some organisations also print a short reminder on the lid, such as a note not to stack more than a set number high, or a contact for the records team. It is a cheap way to stop well-meaning colleagues from overloading shelves or moving boxes without telling anyone.
Hand Holds, Lids and Strength Options
Hand holds are cut into the ends so a box can be carried without the lid slipping off. Reinforced hand holds, with a double layer of board, prevent tearing when the box is heavy. Some designs include a hand hold on the lid too, so the whole box lifts as one.
Lid depth varies. A shallow lid is easy to remove; a full-depth telescopic lid covers the whole base and doubles the wall thickness for maximum strength. For long-term storage on high shelving, the telescopic style is the safer option.
Double-wall corrugated suits heavy, long-term archives. Single-wall works well for lighter records and boxes that are handled often. For boxes that are carried often, boxes with reinforced carry handles are a worthwhile step up.
Storage Conditions and Care
Paper keeps best in cool, dry, stable conditions. Avoid storing archive boxes directly on a concrete floor, where damp can rise into the board. A pallet or the bottom shelf of a racking system keeps them off the ground. Keep boxes away from radiators, windows and pipes.
Do not overfill boxes. A lid that will not sit flat lets dust in and puts pressure on the walls. Leave a little space at the top so files can be lifted out easily, and stack boxes squarely so the weight rests on the corners where the board is strongest.
If you need to keep records for many years, check boxes during each yearly check. Replace any that have softened, split or been crushed, and transfer the contents with their labels intact. If you keep records in a self-storage unit, our heavier custom archive boxes cope better with long-term stacking.
Count Your Files, Not Your Shelves
The simplest way to size an archive order is to count what you are storing. Measure a lever arch file, a box file and a bundle of loose A4 or foolscap papers, note how many of each you have, and tell us how high the boxes will be stacked. That tells us the internal length, whether single or double wall board is needed and how many boxes to quote. If the boxes will spend years on racking, mention it, because a double wall board grade costs little more and stays square for far longer.
For printed label panels, send us the fields your records team uses, such as department, date range and destroy-by date, and we lay them out on the end panel on the free proof. A custom quote is emailed within one working day, production takes 4 to 7 working days from approval and boxes arrive flat by tracked courier. Any box that turns up crushed or misprinted can be reported within 10 days for a reprint or refund.

Archive Storage Boxes with Lids Questions
What buyers ask before ordering archive storage boxes with lids.
How many lever arch files fit in an archive box?
A box around 400 x 330mm holds four or five standing upright. Tell us your file width and we will size the box to fit.
Is double-wall board necessary?
For heavy boxes stacked high or stored for many years, yes. Single-wall is fine for lighter records handled often.
Can you print label panels on the box?
Yes. Lines for contents, department, date range and destroy-by date can be printed on the ends and sides.
How do I colour-code archive boxes?
A printed coloured band on the end of each box works well. Use a different colour per department or retention period.
Will the lid stay on when I carry the box?
A deep lid and a lid hand hold help. For heavy boxes, carry from the base hand holds and keep the box level.
Can I store archive boxes in a basement?
Only if it is dry. Keep boxes off the floor on pallets or shelving, and away from pipes and damp walls.
Do archive boxes and lids come as one piece or two?
They arrive flat as separate base and lid blanks, bundled together. Each pair folds up by hand in under a minute, and the hand holds are pre-cut.
What box suits foolscap files?
Foolscap needs a longer internal length than A4. A box around 390mm long internally is a common choice.
How quickly can I get boxes for an office move?
Production is 4 to 7 working days from proof approval, followed by 2 to 3 working days for free tracked delivery.
Can a small practice order just twenty archive boxes?
Yes. Minimums are quoted per job and kept low, so a small firm doing one clear-out can order a modest number. Larger records moves benefit from wholesale quantities.
What happens if a bundle of archive boxes arrives with crushed corners?
Tell us within 10 days with a photo of the damaged blanks and we will reprint or refund them. Boxes travel flat in bundles, which protects the creases in transit.
