Custom Archive Boxes for A4 Files and Lever Arch Folders
Custom archive boxes keep client files, ledgers and lever arch folders flat, labelled and easy to lift off a shelf for years. Printing your name and a clear index panel on every box turns a dusty storeroom into a system anyone in the office can search.

What Makes an Archive Box Different From a Shipping Carton
A shipping carton is built to survive one journey. An archive box is built to be opened, closed, stacked and moved for a decade. That changes almost every detail. The lid lifts off rather than being taped shut, so staff can check a file and put it back without destroying the box. Hand holes on the ends let two people move a heavy box safely. The walls are sized so that A4 papers stand upright or lie flat without curling, and the base is strong enough to take a full load of paper, which is far heavier than most people expect.
A box packed tightly with A4 paper is surprisingly heavy, often more than one person should lift from a high shelf. A thin carton bows in the middle when lifted and splits along the base seam when stacked under three or four others. Archive boxes use stiffer board and folded double ends to resist that. Boxes built for one journey rather than years on a shelf are described on our shipping cartons built for transit page.
Board Strength and Stacking
Single wall corrugated in a strong grade suits occasional storage and lighter loads such as project folders or marketing samples. For long-term storage of heavy paper files, double wall corrugated is the safer choice: it resists crushing when boxes are stacked several high on a floor or on deep shelving and copes better with the occasional knock from a trolley.
Lids should overlap the box walls by a good margin so they stay put when the box is carried, and so dust has a harder time settling inside. A full telescopic lid, which comes most of the way down the sides, adds a second layer of board around the top half of the box and makes the stack stronger still. The thicker grade we recommend for full lever arch files is explained on our double wall boxes for heavy loads page.
- Single wall for light files and short-term storage
- Double wall for heavy paper and tall stacks
- Deep or full telescopic lids for extra strength
- Reinforced hand holes on both ends

Sizing Custom Archive Boxes Around Your Files
The right size depends on how you store paper today. Loose A4 sheets and suspension files suit a box with an internal length just over 300 mm and a height to match, so papers stand on their long edge like books on a shelf. Lever arch files are bulkier: they need an internal width of around 290 mm and a height of roughly 320 mm to stand upright, and a standard box takes several side by side.
Foolscap files, used by many legal and public sector teams, are longer than A4 and need a correspondingly longer box. Ledgers, deed packets and drawings may need something wider and shallower. Measure the folders you actually use, including their spines and any tabs that stick up, and tell us how many you want in each box. It is better to have a box that takes four lever arch files snugly than one that takes five with no room to pull them out. Follow our guide to measuring folders for a box if your files are an unusual size.
Printing for Fast Retrieval
The most useful print on an archive box is not a logo, although that is welcome. It is a clear, consistent label panel on both ends and the front, with ruled spaces for the department, client or matter reference, date range, contents and destruction date. When every box carries the same panel in the same position, anyone can scan a shelf and find the right box in seconds.
One or two colour print keeps costs down and stays legible. Some offices colour code by year or department, printing the same box design in different ink colours so a whole row of shelving can be read at a glance. A barcode or QR code area can also be added for teams that track storage in software.
Your logo and a short line such as confidential client files help movers and contractors treat the boxes properly, without giving away what is inside.
Think about the people who will read the labels years from now. Pre-printed headings such as matter number and destruction date prompt staff to fill in the same details every time, so nobody has to open a box to find out what is in it. A wide panel also leaves room for clear handwriting with a marker pen, which is how most boxes still get labelled on the day they are packed. Offices that re-label boxes as files move often pair them with general purpose labels for indexing.
Who Orders Archive Boxes
Solicitors and conveyancers keeping completed matters, accountants storing client records, surveyors and architects archiving project files, schools and colleges keeping pupil records, medical and dental practices storing older notes, charities, councils and housing associations all rely on archive boxes. Businesses preparing for an office move or clearing a storeroom often order a large batch at once, then a smaller top-up each year as files close.
Record management and document storage companies also order them in volume with their own branding, so every box arriving at their warehouse is uniform and easy to rack. Firms that want the lid separate from the base choose our lidded archive storage boxes.
Assembly and Storage Tips
Archive boxes are delivered flat to save space and usually fold together without tape. Assemble the base fully, making sure any locking tabs are pushed home, before loading. Pack files upright where possible and fill each box completely; half-empty boxes buckle when stacked. Keep heavy boxes on lower shelves and never stack higher than the shelving or floor guidelines in your building allow.
Paper archives last longest in a dry, cool room away from external walls and radiators. Lifting boxes onto pallets or slatted shelves rather than placing them straight on a concrete floor helps avoid damp creeping into the base.
When files reach their destruction date, the printed panel makes it easy to pull the right boxes for secure shredding without opening every one on the shelf. Where boxes are carried between floors, the boxes with carry handles are easier on staff.
Count Folders per Box and Years per Shelf
An archive order is sized from the shelf backwards. Measure the shelf depth and height, decide how many boxes sit side by side, and then work out how many lever arch or box files go in each box; most firms land on four or five lever arch files per box. Give us those figures and the total weight of a full box, because the board grade and the hand holes are specified from the weight. Decide on the lid style next: a fully telescopic lid for boxes that are opened often, a shallow lid for boxes that are sealed and shelved. Artwork is usually a logo and a ruled index panel, so send a vector logo and the headings you want on the panel. A quote arrives by email within one working day, boxes are quoted per job with low minimums, and a free proof shows the label panels in place. Production takes 4 to 7 working days after approval and delivery is free and tracked to UK mainland addresses. Lighter files that do not need double wall can use our lidded cardboard boxes for lighter files.

Archive Boxes Questions
What buyers ask before ordering archive boxes.
How many lever arch files fit in one archive box?
It depends on the box width you choose. Tell us how many you want per box and we will size it so they fit snugly with room to lift them out.
Do I need double wall board?
For heavy paper files stored in stacks, yes. Single wall suits lighter loads and boxes kept on shelves rather than piled on the floor.
Can every box carry the same index panel?
Yes, we print a ruled panel with spaces for client, reference, date range and destruction date on the ends and the front, so shelves can be searched from either side. The headings are set to your wording. Staff fill the panel in by hand or with a label.
Can we colour code boxes by year?
Yes. We can print the same design in different ink colours, which lets you read a whole row of shelving at a glance.
Do the boxes need tape to assemble?
Most styles fold and lock without tape. We include folding guidance with the first delivery.
Will hand holes tear on a box full of lever arch files?
Hand holes are cut in a doubled section of board so the load is spread, and a full box of five lever arch files is within the rating. Lift with both hands and keep the lid on when carrying. Overfilling beyond the rating is what tears a hole, which is why we ask for the full weight.
Can you print a barcode area for our storage software?
Yes, a blank white area for a barcode label or a printed QR code can sit on the end panel beside the index. Tell us the label size your scanner software uses. The area is marked on the proof.
Should the lid be fully telescopic?
A full-depth lid adds strength and keeps out more dust. It suits long-term storage and tall stacks.
We are moving office next month. How soon can boxes arrive?
Once the proof is approved, expect 4–7 working days to produce the archive boxes and 2–3 working days of free tracked UK mainland delivery. Mention your moving date so we can plan around it.
Can the boxes be marked confidential without naming the contents?
Yes, a line such as confidential files alongside your logo signals care without saying what is inside. The index panel then carries only a reference number. This suits solicitors and accountants who store client records off site.
What if archive boxes arrive crushed on the pallet?
Photograph the damaged boxes and the pallet wrap and send the photos to us within 10 days of delivery. We reprint or refund the affected boxes. Flat-packed archive boxes rarely crush in transit, so damage usually points to the courier.
