Custom Promotional Folders for Events and Sales Packs
Custom promotional folders are printed card folders with one or two inside pockets that hold flyers, price lists, schedules and business cards together in a single branded pack. Marketing and events teams hand them to delegates, prospects and journalists so every loose sheet arrives looking organised and on-brand.

A Folder Is the First Thing People Hold
At a conference registration desk, a trade show stand or a sales meeting, the folder is often the first piece of your brand someone physically holds. A flimsy plain wallet with a sticker on the front says very little. A well-printed folder in a sturdy board, with a clear cover design and neatly arranged inserts, signals that the event or the pitch has been planned with care.
Folders also keep content from going astray. Delegates juggle coffee, lanyards and phones, and loose sheets get left on chairs. A pocketed folder holds the agenda, the floor plan, the speaker list and the sponsor offers together, so the information goes home with them rather than being left behind in the hall.
A good folder keeps working after the event. People file it on a shelf, take it into the office the next week or pass it to a colleague who could not attend. Each time it is picked up, your brand is seen again. That second life is why it pays to print contact details and a website clearly, not only the event name, and to choose a board that still looks smart after a few days in a bag. Brands often pair them with a3 presentation folders so the whole order arrives in one look.
Pockets, Slits and Spine Options
The inside layout decides how useful the folder is. Think about what will go in it before choosing a style; a thin pack suits a single pocket folder, a brochure needs a spine.
- Single right-hand pocket, the most common layout for a small stack of A4 sheets
- Twin pockets, left and right, for separating an agenda from sponsor material
- Business card slits cut into a pocket so a card sits on show
- Gusseted pockets or a capacity spine for thicker packs and brochures
- Shaped pocket edges, such as a curve or angle, that echo your logo
- A third flap or mini folder for USB sticks or smaller cards

Board Weight and How It Feels
Promotional folders are printed on a heavy board so they hold their shape when carried around all day. A thicker board feels more substantial and resists creasing in a delegate bag; a slightly lighter board keeps costs and postage down when folders are mailed out, and the board and card types guide explains the weights. Uncoated boards have a natural, textured feel and write well, which suits creative agencies and charities. Coated boards give sharper photography and stronger colour.
Laminating the outside protects against scuffs and coffee rings. Matt lamination looks modern and calm, soft-touch feels velvety in the hand, and gloss makes bright colours pop on a busy stand. For a premium look, foil the logo on the cover or emboss it so it can be felt.
Think about where the folders will be used. Outdoor events, such as agricultural shows or open-air festivals, expose folders to drizzle and damp grass, so a laminated board is a sensible choice. Indoor conferences are kinder, and an uncoated board with a foil logo can look more refined. If folders will be written on, for instance to note a delegate's name or a stand number, leave an uncoated panel or choose a matt finish that takes ink.
Designing Custom Promotional Folders That Work Hard
Treat the folder like a small book. The front cover carries the brand or event name and one strong image or pattern, and the print and finish options compared page shows how lamination changes the colours. The back cover is a good place for contact details, a website and social handles. The inside, often overlooked, can carry a welcome message, a map of the venue, a short company overview or a list of services, so even an empty folder has something useful to say.
Keep the area behind the pockets simple, as most of it will be hidden by inserts. Many designers put a solid brand colour there so it frames the inserts neatly. If you add business card slits, place them where the card will not be covered by the papers in front of it.
Matching Folders to Their Inserts
A folder designed for A4 sheets needs to be slightly larger than A4 so the pages slide in without catching. If your pack includes a stitched brochure booklet several millimetres thick, a capacity spine or gusset stops the folder bulging and the pockets tearing. For smaller packs, such as menus or price lists at A5, a smaller folder looks tidier and costs less to post.
Count the sheets you plan to include and check the thickness before choosing a style. A pack of five single sheets fits any standard pocket, but twenty pages plus a brochure needs extra room. We will suggest a spine width if you tell us what goes inside.
Order your inserts and folders together where you can, so sizes are checked side by side. A common problem is a brochure printed slightly larger than planned that no longer fits the pocket. If the inserts come from another printer, send us their final trimmed size before you approve the folder proof.
Who Uses Promotional Folders
Event organisers use them for delegate packs and speaker packs. Sales teams carry them to meetings with proposals, case notes and price lists, often with printed business cards in the slits. PR agencies send press packs to journalists. Schools and colleges hand them to new students and parents at open days. Estate agents and property developers use them for brochures and floor plans, and hotels use them for conference and wedding packs.
A folder can also be designed to last beyond one event. A neutral company folder used for every proposal over several months often works out cheaper per use than a new design for each occasion, and it gives the sales team one consistent look.
Build One Delegate Pack by Hand Before You Choose the Spine
The most common promotional folder mistake is a pack that will not close. Before you order, assemble one complete pack exactly as a delegate will receive it: the agenda, the brochure, a price list, a pen and a business card. Measure the stack with a ruler. Under a few millimetres, a flat pocket folder is fine; thicker than that, a capacity spine or gusset keeps the pockets from tearing. Note which items need a slit or a flap, and if the folder will be posted, which argues for a lighter board.
Send the insert sizes, the pocket layout and any extras, and a custom quote comes by email within one working day, from £0.25 depending on board, size and finish, with minimums quoted per job. A free design proof shows the flat folder with pocket folds and cut lines marked. Production takes 4 to 7 working days after approval and the flat folders reach UK mainland addresses on free tracked delivery in 2 to 3 working days, so an event date can be planned with confidence. Organisers who hand out a programme as well often add booklet folders with a stitched insert to the same run.

Promotional Folders Questions
What buyers ask before ordering promotional folders.
What size folder do I need for A4 sheets?
An A4 folder is made slightly larger than A4, usually around 220 x 310 mm closed, so the sheets slide in easily. If you add a brochure, consider a spine.
How many sheets fit in a standard pocket?
A standard pocket holds a modest stack of single sheets comfortably. For thicker packs or brochures, a capacity spine or gusset stops the folder bulging.
Can you add business card slits?
Yes, slits can be cut on either pocket. We place them where the card stays visible in front of the inserts.
Can a venue map be printed inside a delegate folder?
Yes, inside print is often used for a venue map, a welcome message or a company overview, and it costs little extra once the outside is being printed. Your proof shows both sides flat so you can check the map lands on the panel delegates see first.
Which finish resists coffee rings and scuffs?
Lamination protects the surface. Matt and soft-touch look premium, while gloss suits bright, bold designs.
Can I get a folder in A5 for menus?
Yes, A5 folders suit menus, price lists and small packs. They cost less and post more cheaply.
Can the pocket have a shaped edge?
Yes, pocket edges can be cut in a curve, angle or a shape that echoes your logo. Keep the lowest point of the shape high enough that sheets are still held along most of the pocket width.
Will the folders arrive in time for my event?
Production takes 4 to 7 working days after proof approval, then free tracked UK mainland delivery takes 2 to 3 working days. Tell us your event date when you ask for a quote.
How much do custom promotional folders cost?
Prices start from £0.25 depending on size, board and finish. Pricing for your custom promotional folders comes back by email within one working day.
Can I add a flap for a USB stick?
Yes, a small extra flap or die-cut holder can be added for a USB stick or a smaller card. Send the stick's dimensions so the holder grips it without tearing the board.
Are the folders delivered flat?
Yes, they arrive flat and ready to fill, which makes them easy to store and pack into delegate bags. Pockets fold up and lock with a tab, so there is no gluing to do on the day.
