Custom Carbon Copy Letterheads
Custom carbon copy letterheads print your company heading onto self-copying NCR paper, so one handwritten letter produces a top copy for the customer and an identical copy for your file. They suit anyone who writes on site, at the counter or on the road and needs a record without a photocopier.

Why Some Businesses Still Write Letters by Hand
A surveyor finishing a site visit, a plumber leaving a note about a follow-up job, a locksmith confirming what was fitted: plenty of trades need to hand over a signed letter before they leave the property. Laptops and printers do not travel well in a van, and an email sent later does not carry the same weight as a signed sheet left on the kitchen table.
Carbon copy letterheads bridge that gap. The top sheet carries your full letterhead and looks like proper company stationery. Underneath, a second or third sheet picks up every stroke of the pen, giving you a matching record that goes back to the office for filing, invoicing or insurance purposes.
The format also suits offices that simply want proof of what was sent. A practice manager posting a hand-signed letter to a tenant, or a garage writing to an insurer about a recovered vehicle, can keep an exact copy of the wording without scanning anything. When a dispute comes up months later, the tinted copy in the file shows precisely what was said and when it was dated. Many customers order these alongside our printed carbonless books, printed in the same colours.
How NCR Paper Makes the Copy
NCR stands for no carbon required, and it is the same paper used in our glued carbonless pads. The back of the top sheet is coated with tiny capsules of colourless ink, and the front of the sheet below is coated with a clay layer that reacts with that ink. When you press with a pen, the capsules burst and the image appears on the lower sheet. There is no messy carbon paper to slide in and nothing to smudge your hands.
Each part in a set is a slightly different paper colour so you can tell the copies apart at a glance. A two-part set is usually white on top with yellow underneath. A three-part set often adds pink, which many offices use for the accounts copy while yellow stays with the job file.
- Two-part sets: customer copy plus office copy
- Three-part sets: customer, office and accounts copies
- Top sheet in white, copies in yellow, pink or blue
- Sets glued along one edge so they stay aligned while you write

Laying Out a Letterhead That Copies Cleanly
The printed heading appears on every sheet, so your logo, company name, address, phone number and registration details are printed on all parts. What copies through is only the handwriting, which is the difference between a letterhead and the boxed layout of a printed carbonless form. That means the space you leave for writing matters more than it does on ordinary letterhead paper.
Keep the heading compact so the writing area is generous. A band at the top no deeper than about 45 mm works well on A4, leaving room for a reference line, date, recipient and several paragraphs. Some customers add faint ruled lines to help keep handwriting straight, which is particularly helpful when people write on a clipboard rather than a desk.
Footers are useful for small print such as company number, VAT number and terms. Place them at least 10 mm from the bottom edge so they are not lost when the sheet is torn off the pad.
If your team uses the same phrases every visit, such as a standard paragraph about payment terms, it can be printed lightly near the foot of the page so nobody has to write it out by hand each time.
Custom Carbon Copy Letterheads as Pads, Sets or Books
Carbon copy letterheads can be supplied in three main formats. Loose sets are glued along the top edge and come boxed, so you take one set at a time and slip it onto a clipboard; books with a stub work like our multi-part carbonless form books. Pads hold a stack of sets glued at the head with a card back, which gives a firm surface for writing on your knee.
Books bind the sets with a cover and a stub so the copy stays in the book while the top sheet tears out along a perforation. Books are ideal when the record needs to stay together in order, for example if you number every letter and need to show none are missing.
Paper Sizes and Print Options
A4 is the natural size for letters and is what most customers choose. A5 suits shorter notes such as delivery confirmations or a brief site report, and the same heading can be carried onto plain single-sheet printed letterheads for typed correspondence. We can also produce custom widths for businesses that file copies in a particular binder.
The heading can be printed in one colour, typically black or a single brand colour, or in full colour if your logo depends on several shades. One colour is the most economical and reads well on the tinted copy sheets. Full colour on the top sheet with a single colour on the copies is another option if you want the customer copy to look its best.
- Sequential numbering in red or black on every set
- Perforations for clean tear-off
- Drilled holes for ring binders
- Wrap-around writing shields to stop copying through to the next set
Getting the Most from Your Copies
Copy quality depends on pressure, and a stiff card back of the kind used on our card-backed printed notepads helps when writing without a desk. A ballpoint pen pressed firmly gives the clearest image through three parts; felt tips and gel pens often do not copy well at all. If several staff use the sets, a quick word about pen choice saves a lot of faint, unreadable office copies later on.
Always slide a writing shield or a piece of card under the set you are using. Without it, the pressure of your pen will mark the set below as well, and a stack of pads can end up with ghost writing several layers deep. We can supply a printed card shield with your pads if that helps your team.
NCR paper is sensitive to heat and strong light over long periods, so file copies in a folder or drawer rather than pinned to a sunny noticeboard.
Decide Who Keeps Each Copy Before You Fix the Number of Parts
The number of parts in a carbon copy letterhead should come from a simple question: who keeps a copy? If the customer keeps the top sheet and the office files one, a 2-part set is enough. Add a part for a site file or an accounts copy, but stop at three unless the fourth copy will really be read, because the bottom sheet fades with every layer. Label each part on the proof, Customer Copy, Office Copy and so on, and decide whether sets need sequential numbers so copies can be matched to invoices later.
Send your logo and details, the paper size, the part count and the format you want, and a custom quote comes back by email within one working day with minimums quoted per job. The free design proof shows the heading and any numbering on every part. Production takes 4 to 7 working days once approved and the pads or sets reach UK mainland addresses on free tracked delivery in 2 to 3 working days. Businesses that also raise job sheets usually print a matching carbonless order form at the same time.

Carbon Copy Letterheads Questions
What buyers ask before ordering carbon copy letterheads.
Is a carbon copy letterhead the same as a carbonless form?
They use the same NCR paper, but a letterhead is laid out as an open writing page with your heading at the top. A carbonless form has boxes and fields for set information. If you write free-form letters, the letterhead layout gives you far more room.
How many parts can a set have?
Two and three parts are the most common, and four parts is possible for businesses that send copies to several departments. Beyond three parts the bottom copy can become faint, so firm pressure with a ballpoint matters more.
Does my logo print on the copy sheets too?
Yes, the heading is printed on every part so each copy looks complete. Only your handwriting transfers through the coating. You can choose to print a different label on each part, such as Customer Copy and Office Copy.
Can the letterheads be numbered?
We can number each set in sequence, usually in red or black in the top corner. The same number appears on every part so copies can be matched up later. Tell us the starting number when you order.
What pen works best on NCR letterheads?
A ballpoint pen pressed firmly gives the clearest copies. Gel, rollerball and felt-tip pens do not exert enough pressure and the copy will be faint. Pencil copies only lightly.
Why does my writing show on the set underneath?
Without a shield between sets, pen pressure passes down into the next one. Slip a piece of card or a writing shield under the set you are using. We can supply printed shields with pads or books.
Can I have a full colour logo on the top sheet?
Yes, full colour printing is available. Many customers print the top sheet in full colour and the copies in one colour to keep the cost down. The proof shows how each part will look.
Which format is best for working on site?
Pads with a stiff card back are easiest when there is no desk, because the back acts as a writing board. Books suit people who need copies kept in order. Loose sets are best when letters go straight onto a clipboard.
How long does a reorder take if nothing changes?
Repeat orders use your approved artwork, so we can confirm the custom quote quickly. Production runs 4 to 7 working days and free tracked UK mainland delivery usually takes 2 to 3 working days after that.
How long do NCR copies last?
Stored in a folder away from heat and strong sunlight, copies stay legible for a long time. Prolonged sun or heat can fade the image, so avoid leaving them on a dashboard or a sunny windowsill.
Can you match my existing printed letterhead?
Send a scan or PDF of your current letterhead and we will set the NCR version to match as closely as possible. We may tighten the heading slightly to leave more writing space, and you will see this on the free design proof.
