How Carbonless Paper Works

Carbonless paper uses a chemical reaction rather than a carbon layer. The back of the top sheet is coated with tiny capsules of colourless ink, and the front of the sheet below carries a reactive clay coating. Press with a pen and the capsules burst, the ink meets the clay and a copy appears. Middle sheets in a three or four-part set have coatings on both sides so the image passes through to every layer.

The result is a clean, smudge-free copy that cannot be rubbed off, with no carbon sheets to remove and throw away. The sheets come in different colours so each copy is easy to identify: white for the customer, yellow for the office, pink for the driver and so on. Sets with more than four copies are covered on our multi-part carbonless sets page.

Copies stay legible for a long time if they are stored sensibly. Keep finished sets out of direct sunlight and away from heat, and file them in folders rather than loose piles. Avoid highlighter pens on the copies, since some solvents can fade the image. For records you need to keep for several years, the office copy stored in a box file is usually all you need.

Choosing How Many Parts

The number of parts depends on how many people need a copy. Counter staff who take orders by hand usually want the two-part version as printed order forms with copies.

  • Two-part: top copy for the customer, second for your records; the most common for receipts and simple invoices
  • Three-part: adds a copy for a second department, such as accounts or the warehouse
  • Four-part: for delivery and logistics paperwork where the driver, the customer, the depot and the office all keep a copy

Forms People Order Most

Delivery notes and proof-of-delivery forms are the classic carbonless job: the driver gets a signature, hands over one copy and brings the rest back. Invoices and receipts follow closely, especially for trades that bill on site. Job sheets and work orders let engineers and installers record what they did and get the customer to sign. Order forms, petty cash vouchers, timesheets, inspection checklists, vehicle check sheets and rental agreements all work well in carbonless sets.

If you already use a form, the simplest way to start is to send us a scan or photo of it. We can reproduce the layout, tidy up the design and add your logo, or redesign it from scratch if it has grown messy over time.

Small businesses often run several forms at once, perhaps an invoice, a quote request and a delivery note. Ordering them together with the same header, colours and numbering style makes the paperwork look consistent to customers and makes it obvious to staff which pad is which. We can give each form its own top sheet colour or a coloured band so nobody grabs the wrong book on a busy morning. Glued carbonless pads for the office suit the forms that never leave the desk.

Designing Custom Carbonless Forms That Get Filled In Properly

A form only works if people fill it in correctly, often in a hurry, in a van, or with gloves on. Give each box enough room for real handwriting, not neat typing. Put the most important fields, such as date, customer name and signature, where the eye lands first. Use clear labels rather than abbreviations, and group related fields together with simple lines or light shading.

Remember that only pen pressure carries through to the copies. Heavy shading behind a box can make the copy harder to read, and very fine print on the lower copies may be faint. We print the same layout on every part by default, but you can have different text at the foot of each copy, for example "Customer copy" or "Office copy", to stop the wrong sheet going to the wrong place.

Think about where the form will be filed. If copies go into ring binders, leave a wider margin on the punched edge. If they will be scanned into an accounts system, keep the reference number and date in the same corner on every form so they are easy to find. And if the customer copy is the one that leaves with them, put your phone number and website on it, because it often sits in a drawer for months. Our printed stationery for small businesses range covers the letterheads and compliment slips that match.

Numbering, Padding and Binding

Sequential numbering is printed on every part of each set, which makes it easy to track invoices, spot a missing delivery note or reference a job sheet later. Tell us the starting number and we continue from there on each reorder.

Sets can be supplied loose, glued at the top or side into pads that peel off cleanly, or made into books with a card cover and perforated sheets. Pads suit counters and offices; books suit drivers and engineers who carry them all day and need a writing shield to slip under the set so the pen does not mark the next form. Hole punching for ring binders and perforated stubs are available too.

For drivers and engineers, a book of fifty sets is a sensible size to carry, while office pads can be larger. If your team works outdoors, ask about a stiffer card cover that copes with a damp van cab. And if forms are shared between several vans, numbering each book in a different range makes it easy to tell which driver wrote which note. Upload the current form through the free proof request and we will redraw it with the numbering in place.

Sizes and Paper Colours

A5 is the most popular size for delivery notes, receipts and small invoices, because it fits a clipboard or a door pocket. A4 suits detailed job sheets, inspection forms and invoices with many lines. A6 and DL are handy for tickets, chits and petty cash slips. The top sheet is usually white, with yellow, pink or blue for the copies, and you can choose the order.

Print is usually one colour, often black or a brand colour, which keeps the cost down and the copies clear. Two colour or full colour printing on the top sheet adds a stronger brand look for customer-facing forms.

Start With the Form You Already Fill In

The quickest route to a good carbonless form is a photo of the one you use now with notes scribbled on it: which boxes are always too small, which fields nobody fills in, where the signature should move. We redraw from that. Decide the number of parts by counting who keeps a copy, choose A5 for anything that lives in a van door and A4 for job sheets with many lines, and give us the starting number so the sequence carries on from your current books.

Say if you want loose sets, glued pads or covered books, since binding changes the price. A custom quote comes back by email within one working day, with minimums set per job, and the free proof shows every field label, the footer text on each copy and the first number. Production takes 4–7 working days after approval and the boxed forms arrive free with tracked delivery to UK mainland addresses in 2–3 working days. Forms that arrive misprinted or damaged are reprinted or refunded when reported within 10 days. Teams that need the same layout in a book for drivers can add carbonless books with card covers to the same order.

Carbonless Forms Questions

What buyers ask before ordering carbonless forms.

What is the difference between carbonless and NCR forms?

None. NCR stands for no carbon required, and both names describe the same coated paper that makes copies under pen pressure.

How many parts should my form have?

Count the people who need a copy. Two parts suit receipts and simple invoices, three add a copy for another department, and four suit delivery paperwork.

Can each copy say who it is for?

Yes. We can print different footer text on each part, such as customer copy, office copy and driver copy.

Can you copy the form we already use?

Yes. Send a scan or photo and we will reproduce it with your logo, or tidy up the layout if you would like.

Do forms have to be numbered?

No, but sequential numbering makes invoices and delivery notes much easier to track. We print the number on every part and continue the sequence on reorders.

Will the copies be clear?

Yes, as long as the form is filled in with a ballpoint pen and firm pressure. Avoid heavy shading inside the boxes people fill in, which can make lower copies harder to read.

Will the pen mark the next set in the pad?

It can, because pressure passes straight through carbonless paper. A writing shield, a stiff card slipped under the set you are writing on, stops that. Shields come with books and can be added to pads.

Pads or books: which is better for drivers?

Books with a card cover and a writing shield. They stand up to being carried all day and keep the unused sets clean.

Can I choose the paper colours?

Yes. White top sheets with yellow, pink or blue copies are standard, and you can set the order. Many firms keep white for the customer so the copy they take away looks cleanest.

We run out of delivery notes next month. Is that enough notice?

Yes. Allow 4–7 working days after the free proof is approved, then 2–3 working days for free tracked UK mainland delivery, so two weeks is plenty. Give us the last number used so the new books carry on the sequence.

Can I print my logo in colour?

Yes. One colour is the most economical, but two colour or full colour printing on the top sheet adds a stronger brand look.
