One Signature, Every Copy Sorted

A driver hands over a pallet, the customer signs, and three people need proof of it: the customer, the office and the depot. Multi-part carbonless forms handle that in one stroke. The top sheet is coated on the back, the middle sheets are coated on both faces and the bottom sheet takes the image on its front, so a ballpoint pressed on the first page writes through to every copy underneath without any loose carbon paper.

The colours do the sorting for you. A common pattern is white for the customer, yellow for accounts and pink for the file that stays in the book, but you can choose the order that matches your process. When the colours are printed into the sheet itself, nobody has to read a tiny footer to work out where a copy should go. They tear it out, glance at it and file it. If you need a second format, our printed carbonless forms can carry the same design.

Choosing Two, Three or Four Parts

Each extra part adds a step to the paperwork chain, so it is worth matching the set to the number of people who genuinely need a copy. More parts also mean firmer pressure is needed to reach the last sheet, which matters if the form is filled in on a van bonnet rather than a desk.

If you are unsure, look at what happens to each copy today. If one is photocopied before filing, that is a sign you need another part. If one is binned unread every week, you can probably drop a part and save both paper and effort for the person writing. If two parts are all you need, carbonless pads for two-part sets are a simpler format.

  • Two-part sets: customer copy plus office copy, ideal for receipts, petty cash slips and simple service visits
  • Three-part sets: adds a separate accounts or depot copy, the usual choice for delivery notes and invoices
  • Four-part sets: for chains with a customer, office, warehouse and driver copy, such as collections and returns
  • Mixed weights: a heavier bottom sheet gives the retained copy more body in the book

Laying Out a Form People Fill In Properly

A form works when the boxes are big enough for real handwriting. We see a lot of artwork where the address field is two narrow lines and the signature box is squeezed into a corner, and the result is copies nobody can read. Give each field room, put the items people fill in most often near the top, and leave the bottom copy free of heavy shading so the transferred writing stays clear.

Your header can carry your logo, company details and VAT number, and the body can include ruled tables, tick boxes, terms on the reverse of the top copy, or a carbon-free strip at the edge where nothing transfers. That last option is handy when prices should appear on the customer copy but not on the driver's sheet. Tell us which copy should hide which field and we arrange the blocked areas for you.

If you are moving from a generic stationery-shop book to your own design, send a photo of the old form with notes on what annoyed your staff. It is usually a small thing, such as no space for a vehicle registration or a date box that sits where the binding covers it.

Size is part of the layout too. A form that is easy to fill in at a desk can be awkward in a cab, so think about where the pen meets the paper before you settle on A4 over A5. Sales teams taking orders on the move often use printed order forms laid out on the same principles.

Numbering, Perforation and Binding

Sequential numbering is printed in red or black on every part of the set, so the white, yellow and pink copies of job 4021 all carry the same reference. You tell us the starting number and we continue from there on reorders, which keeps your audit trail unbroken.

The finish depends on where the forms are used. Loose sets glued at the head suit office printers and filing. Pads glued at the top or side suit counters. Books with a card cover, a writing shield and a stub perforation suit drivers and engineers who need to keep the retained copy in the cover while the others are torn out cleanly. Sets bound with a cover and a writing shield are also available as bound carbonless books.

  • Perforation along the binding edge so copies tear cleanly without ripping the numbers
  • Card writing shield to stop pressure marking the next set in the book
  • Hole punching for ring binders or lever arch files
  • Wrap-around covers printed with your branding and a space for the user's name

Where Colour-Coded Sets Earn Their Keep

Logistics firms use them as proof of delivery, with the bottom copy staying in the cab book. Plumbers, electricians and heating engineers use three-part job sheets so the customer, the office and the engineer each have the same record of the work and the parts used. Hire companies record equipment out and back on four-part sets, and warehouses log goods in on numbered dockets that accounts can match against invoices.

Smaller businesses use them too. A garden maintenance firm might want a simple two-part estimate; a car valeting business might want a checklist on the top copy with a condition diagram of the vehicle. The format bends to whatever record you need, as long as it is filled in by hand.

The common thread is accountability. When a dispute comes up weeks later about what was delivered, what was fitted or what condition a returned item was in, a signed, numbered copy in the right colour settles it quickly. That is why so many firms keep using paper sets alongside their apps: a pen does not need a signal, a charged battery or a login, and the customer walks away holding something. Office paperwork that needs no copies, such as letters, sits better on branded company letterheads.

Getting the Order Right First Time

Send your artwork or a sketch, and say how many parts, which colour order, the size, the starting number and the binding you want. We return a free design proof showing each copy, the numbering position and any blocked-out fields, and nothing is printed until you approve it. Our custom quote comes back by email within one working day, and production then takes 4–7 working days after approval.

Delivery is free and tracked to UK mainland addresses, normally within 2–3 working days. If a set arrives misprinted or damaged, report it within 10 days and we reprint it or refund you. Minimums are low and quoted per job, which makes it practical to run a small batch of a new form, see how your team gets on with it and adjust the layout before you commit to a bigger order. Our full printed stationery range lists the other forms, pads and books we produce.

Multi-Part Carbonless Forms Questions

What buyers ask before ordering Multi-Part carbonless forms.

What colour order do multi-part carbonless forms usually come in?

White, yellow and pink is the most common three-part order, with white on top for the customer. For two parts, white and yellow is typical, and four-part sets often add blue or green at the bottom. You can choose any order that suits how copies move through your business.

Will the fourth copy still be readable?

Yes, provided the form is filled in with a ballpoint on a firm surface. We fit a card writing shield in books so pressure goes into the set rather than the next one. If your staff often write on soft surfaces, a three-part set may be the better choice.

Can a price show on one copy but not another?

It can. We apply a desensitised area to the back of the sheet above the copy that should stay blank, so nothing transfers onto it. The proof marks these zones clearly so you can check them before printing.

Can numbering carry on from my last order?

Yes. Give us the last number used and we start the new run from the next one. Every part of a set carries the same number so copies can be matched later.

Can my forms go through an office printer?

Loose carbonless sets can be fed through many laser printers if they are collated and glued lightly at the head. Results vary by printer, so we suggest testing a small batch first. Bound books and pads are made for handwriting only.

What is the difference between a pad and a book?

A pad is glued along one edge and the whole set is torn off. A book has a cover, a stub and perforations, so you can tear off some copies while the retained copy stays bound inside. Books suit drivers and engineers who need a permanent record.

Can you print terms and conditions on the back?

Yes, terms are usually printed on the reverse of the customer copy. They print in a single colour so they stay legible without affecting the carbonless coating. Let us know which copy should carry them.

Can each book have a different engineer's name on the cover?

Personalised covers are possible on books and we quote them per job. It helps when a team shares one form design but each person needs their own book. Send us a list of names with your artwork.

Do I need to supply finished artwork?

No. A photo or sketch of the form you use now is enough to start, and we lay it out and send a free proof. If you have your own artwork, a PDF with fonts outlined works best.

How quickly can I replace a form that has run out?

Once the proof is approved, production takes 4–7 working days, followed by free tracked delivery to UK mainland addresses in 2–3 working days. Reorders of an existing design are quicker to approve because the artwork is already set.

What happens if the copies are out of register or misnumbered?

Report it within 10 days of delivery with a photo and we reprint the affected sets or refund you. We check numbering sequences during production, but we stand behind the result if something slips through.
