Pen Boxes with Foam Inserts

from £0.25 a boxPriced per job · low minimums

Pen boxes with foam inserts hold a pen, or a pen set with refills, in a cut-out bed so nothing rattles or scratches. We make them as hinged, lift-off and slide-out boxes, printed or foiled for corporate gift buyers and pen brands.

Why Foam Is the Right Bed for a Pen

A good pen has a polished barrel, a fine nib or tip and often a metal clip, all of which mark easily if they knock against card or each other. Foam cut to the exact shape of the pen holds it still, cushions it from drops and keeps a second pen or a refill from touching the first. When the box opens, the pen sits neatly in its outline, which looks far more deliberate than a pen loose on a card tray.

Foam also lets you present several items at once. A fountain pen with a converter and ink cartridges, a pen and pencil pair, or a pen with a matching rollerball can all sit side by side in their own shaped pockets.

Foam also keeps fountain pens upright in a controlled position, which reduces the chance of ink moving into the cap during transport. For pens sent through the post, this small detail helps them arrive ready to write. The same shaped foam is cut for electronics and glass in our foam inserts cut to a product outline.

Who Orders Foam-Lined Pen Boxes

Corporate gift buyers are the largest group: branded pens given to clients, long-serving staff and conference speakers carry more weight in a proper box. Schools and universities use them for prizes and leaving gifts. Pen makers and stationery shops use them for their own ranges, while engravers and personalisation businesses need boxes that make an engraved name look special. Award organisers and associations often pair a pen box with a printed award card or medal.

Retailers selling premium pens use foam-lined boxes to keep display stock in perfect condition. When a customer handles a pen and puts it back, it returns to its outline, ready for the next shopper. Schools giving a pen alongside a rigid box for business cards at graduation often match the wrap colour across both.

Box Styles for Single Pens and Gift Sets

A hinged lid box opens in one movement and keeps the lid attached, so it suits presentation on a desk or at an awards ceremony. A two-piece lift-off box is simple and elegant and costs a little less. A slide-out drawer with a ribbon pull suits slim single pens. For volume promotional orders, a folding carton with a foam or card insert keeps the price down while still holding the pen safely.

Long boxes suit pens laid flat; shorter, deeper boxes work for pen and stand sets or pens with a small notebook.

Many companies give a single pen, but sets often feel more generous. A pen and mechanical pencil pair suits professionals who sketch or take notes. A fountain pen with a bottle of ink needs a deeper box with a pocket shaped for the bottle. A pen with a small leather notebook makes a practical gift for clients who travel.

If you plan to offer several sets, one outer box size with different foam layouts keeps the look consistent and saves on print setup. Tell us which items you plan to box and we will suggest the smallest number of box sizes to cover them.

Remember that heavier pens need firmer foam, otherwise they can sink and sit unevenly. For brands launching a new pen, a few prototype boxes before the main run let you check the fit, the foam colour and the overall look in person. The styles are drawn side by side in our guide to choosing a box style.

Getting the Foam Cut Right

Foam inserts are cut to the outline of each item. We need the length, the widest diameter, the clip position and the shape of the cap. Pens with a large clip or a tapered body need a shaped cut rather than a simple slot. A thumb notch beside each pocket makes it easy to lift the pen out without gripping the nib end.

Black foam is most common and gives a strong contrast with metal and coloured barrels. Grey foam looks softer. For a premium feel, the top layer of foam can be flocked or covered in velvet.

For pens made by hand, such as turned wooden pens, each one can vary slightly. A slightly wider foam cut, or a foam with more give, accepts small differences while still holding firmly.

Two-layer foam inserts can hide a compartment beneath the top layer for a warranty card, instructions or spare cartridges.

Printing and Finishing the Box

Rigid pen boxes are wrapped in paper, often black, navy, burgundy or textured white, with a foil logo on the lid. Debossing adds a refined touch for luxury pens. Full colour printing is available for promotional cartons and for brands with a bold pattern. A printed message inside the lid, such as a thank you to a client or a company value, adds a personal touch to corporate gifts.

For engraving businesses, a plain box with a blank panel lets them use one stock box for many customers.

Lid lining is another option. A satin or printed paper inside the lid gives a finished look when the box opens and is a natural place for a short message or the maker's name.

Planning a Corporate Pen Gift

Order pens and boxes with enough time for engraving if names are involved. Measure a sample pen before ordering boxes, as even pens from the same supplier change slightly between models. If the gift includes a card, plan a slot in the lid or under the foam. Ask for a few spare boxes to cover late additions to the guest list.

If you will post pens, pair the box with a small outer mailer to protect the rigid box corners.

If the pens are part of an event, consider the logistics of handing them out. Boxes with a printed name label on the base, or boxes sorted alphabetically in the delivery carton, make the day run smoothly. Bulk pencils for the same event go in printed pencil cartons for sets rather than foam-lined boxes.

Post Us the Pen, or Measure It at Four Points

Foam is cut to the pen, so the pen's measurements decide everything. Take its overall length with the cap on, the widest diameter of the barrel, the diameter at the cap if it differs, and where the clip sits along the length, then note whether it is a fountain pen with a converter or a set with refills. A photograph on squared paper beside a ruler is nearly as good as the pen itself, and for a corporate order of two hundred boxes it is worth posting one pen so the cut-out is tested on it. Shops that need the pen on show rather than boxed use the open pen display boxes for counter stands.

Prepare the lid artwork as a vector, with a plain panel if engravers will add names. Email the pen measurements, box style, foam colour and quantity and a custom quote comes back within one working day, followed by a free design proof showing the foam cut-out. Boxes are made in 4 to 7 working days once approved and delivered free and tracked on the UK mainland in 2 to 3 days. Boxes that arrive scuffed or misprinted are replaced or refunded when reported within 10 days.

Pen Boxes with Foam Inserts Questions

What buyers ask before ordering pen boxes with foam inserts.

What details do you need to cut the foam?

The pen length, widest diameter, clip position and cap shape. A photo beside a ruler helps us get the outline right.

Can one box hold a pen and refills?

Yes. We cut separate pockets for the pen, refills, cartridges or a converter so each item stays apart.

Which box style is best for an awards ceremony?

A hinged lid box opens in one movement and stays attached, which is ideal for presenting on stage or on a desk.

Can the foam be covered in velvet?

Yes. Velvet or flocked foam gives a more luxurious look for premium pens.

Do you offer a plain box for engravers?

We can make a stock box with a blank panel so one design suits many customers and names.

Can a gift card fit in the box?

We can add a card slot in the lid or a space under the foam layer for a card.

Will the pen be safe in the post?

The foam holds it firmly, and we suggest a small outer mailer to protect the rigid box corners in transit.

Can I order boxes for a small staff gift run?

Yes. Minimums are low and quoted per job; send the quantity for a custom quote within one working day.

Can pen boxes be ready for a staff awards evening?

Production takes 4 to 7 working days after you approve the proof and foam layout, then free tracked UK mainland delivery takes 2 to 3 working days.

What happens if a pen box arrives with a scuffed wrap or a torn foam bed?

Report it within 10 days with a photograph and the affected boxes are remade or refunded. Check the corners of a few boxes from each carton on arrival, because that is where transit marks show first on a wrapped rigid box.
