Why a Cup Works Harder Than a Flyer

A flyer is glanced at and folded into a pocket. A cup is held for ten or fifteen minutes, carried across a hall, set down on tables where other people see it and often photographed alongside the drink. At a busy exhibition or a sponsored race, hundreds of cups can be moving around at once, each one carrying the same message.

The cup is also tied to a positive moment. Someone has just been handed a free coffee, a smoothie sample or a cold drink on a hot afternoon, and your brand is attached to that small piece of goodwill. That association is hard to buy through other formats, and it is why launch teams, sponsors and agencies keep coming back to printed promotional cups. The cup carries the message further than A6 flyers handed out beside the cup, which are dropped within minutes.

Matching the Cup to the Drink

Single wall paper cups are the standard choice for cold drinks and for hot drinks served with a sleeve. They are light, inexpensive and print cleanly. Double wall cups have an extra outer layer that keeps hands comfortable with a hot drink and feels more substantial, which suits coffee bars at corporate events. Ripple wall cups add a textured outer wall that gives even more grip and insulation.

For cold drinks such as iced coffee, smoothies and soft drinks, a cup with a coated inner surface designed for cold liquids prevents the board from softening as condensation forms. Tasting cups in small sizes are popular for product sampling, where a sip is enough and the goal is to hand out as many as possible.

Designing Artwork for a Curved Surface

A cup is a cone, not a flat sheet. Artwork is printed on a curved fan shape that wraps around the cup, so straight lines and text near the top and bottom need to follow that curve. We supply a template that shows the print area and the seam, which is where the two ends of the wrap meet. Avoid putting faces, QR codes or key words over the seam.

From any one viewpoint, only about a third of the cup is visible. Repeat your logo two or three times around the cup so it is always in view, or design a continuous pattern with the logo appearing at intervals. Big, bold shapes work better than fine detail, because the cup is usually seen from a distance and at an angle.

Colour behaves differently on cup board than on paper. Dark, saturated colours print richly, but very light pastel tints can look washed out against white board, and on kraft cups they almost disappear. If your brand relies on a specific colour, ask for it to be matched as a spot ink rather than built from full colour, and check the proof under normal daylight rather than only on a bright screen. You receive a free proof on the cup template so the seam and the QR code position are clear.

Messages That Suit Printed Promotional Cups

The best promotional cups carry one clear idea. That might be a launch line for a new product, a short question that prompts conversation, a hashtag for an event or a QR code that links to an offer. Sponsors often want their logo alongside the event branding; in that case agree a hierarchy early so the cup does not become crowded.

QR codes work well on cups because people are standing still with a free hand while they drink. Make the code at least 20 mm square, put it on a plain background, and test it on several phones before you approve the proof. A short line beside it, such as scan for your discount, tells people why they should bother. A booking link that changes after printing can go on QR code stickers for the lid instead of the cup.

Events, Launches and Sponsors

Exhibition stands use printed cups to draw visitors in with free coffee, then let the cup carry the brand around the hall. Sports events and fun runs hand out cups at water stations and finish lines, where sponsor logos are photographed in race pictures. Product launches use cups to sample a new drink or flavour, and corporate conferences use them at break stations to reinforce the event identity.

Agencies running sampling campaigns often order several designs for different locations or days. Running more than one design in the same job keeps the cost per cup down while letting each event feel its own.

Retailers and hospitality brands use printed promotional cups too, outside of one-off events. A coffee shop running a limited menu for a few weeks, a cinema promoting a new release or a gym launching a juice bar can swap its usual cups for a campaign design, which tells regular customers that something new is happening without a single poster on the wall. Where two sponsors share a stand, coffee cup sleeves for sponsors give the second one its own panel.

Planning Quantities and Timing

Estimate how many people you expect and how many drinks each person is likely to take, then add a margin for spillages and staff use. Running out halfway through a sponsored event looks worse than having a box left over, and spare cups can be used at a later event if the artwork is not date-specific.

Cups are bulky in storage even though they are light, because they nest rather than lie flat. Check how much space you have at the venue and if you need delivery to the event address or to your office first.

Think about what happens once the cups are used. At a large event, bins near the drinks station quickly fill with your branded cups, and if the area looks messy in photographs that reflects on the brand. Ask the organiser about waste collection and place a few extra bins nearby. It is a small detail, but sponsors notice when their logo is pictured overflowing from a bin. Hot drinks served without a sleeve are best in double wall paper cups for hot drinks.

Repeat the Logo Three Times Round the Cup and Keep the QR Code Off the Seam

A cup shows only about a third of its surface from any angle, so the artwork rule that matters most is repetition: place the logo two or three times around the wrap, and keep any QR code at least 20 mm square on a plain background away from the seam. Choose the cup by the drink, double or ripple wall for hot drinks served without a sleeve and cold cups for iced drinks, and count the servings per day of the event with a margin for spillage. If sponsors share the cup, agree which logo leads before artwork starts. Add matching lids, and for a sponsored stand consider coffee cup sleeves for a second sponsor so each has its own space.

Send the cup size, wall type, quantity and artwork, and a custom quote comes by email within one working day. The free proof shows the artwork wrapped on the cup template with the seam marked. Production takes 4 to 7 working days after approval, cups arrive by tracked courier to UK mainland addresses or the venue, and crushed or misprinted cups reported within 10 days are reprinted or refunded.

Printed Promotional Cups Questions

What buyers ask before ordering printed promotional cups.

Can the same cup be used for hot and cold drinks?

Some cups handle both, but cold drinks are best served in cups made for cold liquids so condensation does not soften the board. Tell us what you will serve and we will specify the right cup.

How do I stop the logo disappearing round the back?

Repeat it two or three times around the cup. Only about a third of the surface is visible from any one angle.

Will a QR code scan on a curved cup?

Yes, if it is at least 20 mm square, sits on a plain background and avoids the seam. Test it on several phones when you check the proof.

Can sponsors share a cup?

Yes. We can place several logos around the cup. Agree which logo leads before artwork starts so the design stays clear.

Can I order more than one design?

Several designs can run in one job, which keeps the cost per cup lower while letting each event or location have its own artwork.

Do you supply lids?

Matching lids, sleeves and carriers can be added to your order so everything arrives together.

What is the seam and why does it matter?

The seam is where the two ends of the printed wrap overlap. Text, faces and QR codes should be kept clear of it so they are not split.

Which cup is best for hot drinks without a sleeve?

Double wall or ripple wall cups. They keep the outside cooler so people can hold the cup comfortably.

Can cups be delivered straight to an event venue?

Yes, delivery to UK mainland addresses is free and tracked. Check the venue can receive and store deliveries before your event day.

How far ahead should I order for an event date?

Allow time for the proof, 4 to 7 working days of production and 2 to 3 working days of delivery. Ordering a little earlier gives you a margin for any artwork changes.

What if a carton of event cups arrives crushed the week of the event?

Report damage or misprints within 10 days of delivery with a photo and we reprint or refund the affected cups. Cups nest in sealed sleeves inside the carton, so a crushed outer rarely reaches the cups.
