Why Name Tents Still Matter

In a room full of people who have just met, names are forgotten within minutes. A name tent solves that quietly. Placed in front of each seat, it lets the chair call on people by name, helps delegates follow who is speaking and makes networking at a lunch table far less awkward. For panel events and board meetings, name tents tell the audience who is who without anyone needing to introduce themselves twice.

Name tents are also a subtle branding opportunity. Each card carries your organisation's logo or the event name, so photographs of the meeting or panel show your branding clearly. A well-printed tent on good card looks professional; a handwritten paper fold looks improvised.

Hybrid meetings add another reason. When some participants join by video, a name tent in front of each person in the room helps remote attendees put names to faces on the screen. Many customers order these alongside our printed table tents, printed in the same colours.

Getting the Size and Type Right

The most important thing on a name tent is that the name can be read from across the table. That means large, bold type: the first name or full name should be the dominant element, with the job title or organisation in smaller type underneath. Avoid thin, decorative fonts and pale colours that disappear under bright lights.

A typical tent stands around 100 mm tall and 200 to 300 mm wide, but the right size depends on the room. In a small boardroom, a compact tent is fine. In a large conference hall or for a panel on a stage, a taller, wider tent ensures names are readable from the back rows and on camera. Top tables and panels usually step up to A4 table tents for panels, which read from the back of a room.

  • Put the name in the largest type, ideally the first name
  • Add the job title or organisation underneath
  • Use high contrast colours for readability
  • Print on both sides so names are visible to everyone

Double-Sided Printing and Fold Styles

Most name tents are printed on both faces. In a boardroom or around a meeting table, people sit on every side, so the name needs to be readable from both directions. Printing on both faces also means that the person sitting behind the tent can see their own name, which helps them check it is the right seat.

The classic fold is a simple A-frame: a card scored in the middle and folded so it stands like a tent. A three-panel fold adds a flat base, which makes the tent more stable and stops it blowing over near air conditioning. Some designs add a tab that slots into the base, which locks the tent firmly in shape for longer events. Our board guide lists the card weights that stand firmly without a locking tab.

Printing Names for a Whole Event

For conferences and events, each tent carries a different name. Send us a spreadsheet of names, titles and organisations, and we will print each tent individually using variable data printing. We will proof a few examples so you can check the layout before the whole set is printed.

For organisations that hold regular meetings, a blank branded tent with a write-on panel or a slot for an insert card can be reused with different names. That is a cost-effective option for training rooms and offices where attendees change often.

Sorting matters on the day. We can pack tents in alphabetical order or by table number, which saves event staff a lot of time when setting up a room. You receive a free proof with every name so spellings can be checked before printing.

Card, Finish and Event Branding

Name tents work best as part of a set. If you are also printing lanyards, badges, menus and table numbers, use the same colours, fonts and logo placement across everything. Delegates notice the consistency, and photographs of the event look polished.

Think about colour coding as well. Speakers, panellists, sponsors and staff can have tents in different colours, which helps organisers and attendees identify roles at a glance.

Name tents need card that is stiff enough to stand upright without bending. A heavy silk or matte card is a good choice: it prints crisply, folds cleanly along a score and holds its shape through a long day. For boardrooms and regular meetings where tents are reused, a lamination protects the surface from coffee rings and fingerprints.

A matte finish is the best choice under bright conference lighting and camera flashes, because it does not reflect glare. Gloss can look vibrant but may make names harder to read in certain light. A soft-touch lamination gives an executive feel for board meetings and premium events. Our finish guide explains why matt lamination suits cameras better than gloss.

Custom Name Table Tents for Different Settings

The same basic product works very differently depending on the room. In a boardroom, tents are often reused week after week, so durability and a discreet, executive look matter most. A soft-touch laminated tent with a small logo and clean type suits that setting. At a conference, hundreds of tents may be needed for a single day, so clarity, speed of setup and accurate names are the priorities.

Training rooms and workshops sit in between. Attendees change with each course, but the room and the branding stay the same. A reusable tent with a write-on panel lets trainers and attendees add names with a marker, wipe them and start again next session.

Panel discussions and televised events need the boldest tents of all. Cameras and audiences are further away, so names need to be large and high contrast, and the organisation logo should be placed where it will appear in photographs. Tell us how the tents will be used and we will recommend the size and finish. Restaurants hosting the dinner often add table tent cards for menus in the same design.

Send the Name List as a Spreadsheet, Sorted the Way You Will Lay Them Out

Name tents are printed one by one from your list, so the list is the job. Send it as a spreadsheet with the name exactly as it should appear, any role or organisation on a second line, and a column for the table or seat if you want the tents packed in that order. Check spellings before you send it, because the proof shows every name and changes after approval mean a reprint. Decide whether tents are single or double sided, whether speakers get a different colour, and if you want a laminated reusable tent with a write-on panel for walk-ins. For panel sessions, our larger A4 table tents carry a bigger name.

Send the design or logo, the list and the quantity, and a custom quote comes by email within one working day. The free proof shows every name in place. Production takes 4 to 7 working days after approval, tents arrive flat and scored by tracked courier to UK mainland addresses, and misprinted or damaged tents reported within 10 days are reprinted or refunded.

Name Table Tents Questions

What buyers ask before ordering name table tents.

How big should the name be?

Large enough to read from across the table, typically the dominant element on the tent. For stage panels, go larger still so names are readable from the back and on camera.

Can each tent have a different name?

Yes. Send a spreadsheet of names and we print each tent individually using variable data.

Should tents be printed on both sides?

For meetings with people on all sides, yes. Double-sided printing means everyone can read the name.

Which card is best?

A heavy silk or matte card stands firmly and prints crisply. Add a lamination for reusable tents.

Will the tents stand up near air conditioning?

A three-panel tent with a flat base, or a locking tab, is far more stable than a simple fold.

Can we reuse the tents?

Yes, a laminated tent with a write-on panel or insert slot can be reused for different attendees.

Can you sort tents by table?

We can pack tents alphabetically or by table number to make setup easier.

Can speakers have a different colour?

Yes. Colour-coding speakers, sponsors and staff helps everyone identify roles quickly.

Which finish is best for photography?

Matte reduces glare from lights and camera flashes, so names stay readable in photos and on video.

Do name tents arrive folded or flat for a conference?

They arrive flat and scored, ready to fold, which keeps them crisp and easy to transport. They can be packed alphabetically or by table so the setup team works through them in order.

Can late name changes be added?

If changes come in before you approve the proof, we can update them. For last-minute changes, reusable tents with inserts are handy.
